Privacy Policy

EasyFlow AI is a small consultancy run by Dermot Corbett in North Vancouver, British Columbia. I respect your privacy and handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, where it applies, British Columbia's Personal Information Protection Act (PIPA). This policy explains what I collect through easyflowai.ca, why, and the choices you have.

1. Who is responsible

I am responsible for personal information under my control and act as the privacy contact for EasyFlow AI. You can reach me at dermotcorbett42@gmail.com.

2. What I collect

  • Enquiry information. When you use the contact form or email me, I collect what you provide: your name, email address, business name, the package you're interested in and your message.
  • Voice assistant conversations. If you choose to use the "Ask EasyFlow" voice assistant, your voice audio, the transcript of the conversation and related technical data are processed so the assistant can respond.
  • Technical information. Like most websites, the servers that deliver this site automatically receive your IP address, browser type, device information and pages requested.

I do not use advertising trackers or sell personal information. I do not knowingly collect information from children.

3. Why I use it

  • To reply to your enquiry and arrange a call.
  • To provide and improve services you ask for.
  • To answer questions through the voice assistant.
  • To keep the website secure and working, and to prevent spam.
  • To meet legal, tax and accounting obligations.

I only use your information for these purposes or for others you agree to. I will not add you to a mailing list without your express consent.

4. Consent

By submitting the form, emailing me or starting a voice conversation, you consent to the collection and use described here. You may withdraw consent at any time by contacting me, subject to legal or contractual limits. Please do not share sensitive personal information (such as health or financial details) through the form or voice assistant.

5. Service providers and where data is stored

I use a small number of trusted providers to run this site. They process information on my behalf and are contractually required to protect it. Some are located outside Canada, mainly in the United States, so your information may be stored or processed there and may be accessible to authorities under the laws of those countries.

  • Netlify, Inc. (United States) hosts this website and receives contact form submissions, and processes technical information such as IP addresses. Netlify privacy policy.
  • ElevenLabs provides the "Ask EasyFlow" voice assistant. If you use it, your audio, transcripts and technical data are processed by ElevenLabs as a third-party processor, and may be stored by them under their own retention settings. The widget script is delivered through the unpkg content network. ElevenLabs privacy policy.
  • Google Fonts (Google LLC, United States) delivers the fonts on this site, which means your browser sends your IP address to Google when the page loads. Google privacy policy.
  • Google Gmail (Google LLC) is where enquiry emails and form notifications are received and stored.

6. Cookies

This site does not use advertising or analytics cookies. The hosting provider and voice assistant may use strictly necessary cookies or local storage to function. You can block cookies in your browser settings.

7. How long I keep it

  • Enquiries that do not lead to work: deleted within 12 months of our last contact.
  • Client records: kept for the length of our work together and up to 7 years afterward for tax and legal purposes.
  • Voice assistant conversations: kept no longer than [VOICE RETENTION: e.g. 30 days, set to match your ElevenLabs retention setting], then deleted.
  • Server logs: kept according to Netlify's standard retention.

8. How I protect it

I use reasonable safeguards, including encrypted connections (HTTPS), password-protected accounts with two-factor authentication, and limiting access to me alone. No method of transmission or storage is completely secure, but I take care to protect your information.

9. Your rights

You have the right to:

  • Ask what personal information I hold about you and get a copy.
  • Ask me to correct information that is inaccurate or incomplete.
  • Withdraw consent and ask me to delete your information, where I'm not legally required to keep it.
  • Ask how your information is used and who it has been shared with.

Email dermotcorbett42@gmail.com and I will respond within 30 days. If you're not satisfied with my response, you can contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.

10. Breaches

If a breach of security safeguards creates a real risk of significant harm, I will notify affected people and the Privacy Commissioner as required by law.

11. Changes

I may update this policy from time to time. The "Last updated" date above shows the latest version.
